Job Description
Key Responsibilities
1. Inventory Audits
•Conduct periodic physical counts of all office supplies and company machines. (e.g., machine parts, uniforms, cleaning materials, office supplies)
•Monitoring in and out of supplies and equipment.
•Reconcile physical inventory counts with recorded data in excel file to identify discrepancies.
2.Stock Management Support
•Monitor stocks of office supplies (e.g., uniforms, cleaning materials, equipment) to prevent shortages or overstocking; coordinate with administrative teams on reordering needs.
•Track usage pattern of supplies.
•Verify that all incoming supplies and new machinery are properly recorded, tagged and stored per company guidelines.
3.Asset and Supply Compliance
•Ensure all machinery is properly labeled and accounted for in asset records, update information for new acquisitions, transfers and disposals.
•Review maintenance logs of machines to ensure scheduled service is completed and documented.
4.Delivery Receipt Management
•Prepare and Issue Delivery Receipts for all released office supplies and machinery to requesting departments or employees.
•Verify that all release requests are properly approved before releasing and processing of DR; cross-check item quantities, descriptions, and recipient details for accuracy.
5.Transaction Encoding and Record-keeping
•Encode all DR transactions, Inventory movements, and asset updates into an Excel file in a timely and accurate manner.
•Update stock ledgers and asset registers to reflect real-time balances and status changes.
•Prepare detailed audit reports summarizing inventory status, discrepancies, and transactions.
•Maintain organized files of audit checklists, count sheets, DR copies and supporting documents.
6.Field Auditing
•Conduct physical inventory of assets.
•Ensure compliance with standard company policies
•Identify discrepancies of inventory and sales related reports.
•Prepared detailed audit findings and reports.
Requirement
-Graduate of any 2 year or 4-year course
-Experience in warehouse management or any related work experience is an advantage. (fresh graduates are welcome to apply)
-Strong attention to detail and proficiency in using Microsoft Office Suite (Excel and word)
-Must be able to perform essential job functions which may include lifting and moving boxes of office supplies, carrying equipments, and moving between different office areas or storage locations as needed.
-Reliable, Organized, Able to work independently or in teams, and committed to maintaining Accuracy and compliance.
